Turn a fit failure into a better purchasing record

A component that fails to fit should trigger a precise discrepancy record. Reordering from a different supplier without documenting the mismatch can repeat the same problem.

The purchasing decision

Record actual dimensions, mating-part revisions and photographs with scale. Separate a manufacturing deviation from an incomplete drawing. Have the responsible owner update the specification or reject the lot before procurement retries.

Keep these records

  1. Measured discrepancy.
  2. Mating assembly identity.
  3. Disposition and corrected requirement.

Give each record an owner and a revision or date. If a supplier proposes a different part or test condition, record it as an exception for review before treating the quotation as equivalent.

Turn the review into a sourcing request

Start with the linked component checklist, add the actual platform and part identity, and state quantity, destination and timing. List unresolved requirements explicitly so the first discussion can focus on those gaps.
